PRIVACY POLICY

This Privacy Policy describes how we collect, use and disclose information and what choices you have around this activity.

A. Main terms and abbreviations

  • DYOu platform/DYOu: Digital You platform developed in the framework of the project “Digital YOu - Digitalization of Youth Organizational Work” (101049508), co-funded by the European Union (digital-youth.org)
  • Authorized users: individuals granted access to a workspace or function of DYOu
  • Personal data: any information associated with an identified or identifiable user of the platform
  • Third party services: any third-party applications or software that integrate with the services through the DYOu platform

B. Information about the DYOu platform

B.1. The platform is a deliverable of the project “Digital YOu - Digitalization of Youth Organizational Work” (101049508), co-funded by the European Union, developed by a Consortium of Connect Int. as coordinator (Belgium), MoveIt (Greece), Backslash (Spain), Tipovej (Slovenia) and BUM (Serbia).

B.2. Connect Int. as the coordinator of the project is the administrator of the platform and in charge of the Privacy Policy and the GDPR provisions. As such, Connect Int. is collecting and storing certain information, as described in details in Section C. However, the collected and received information within the DYOu platform may be shared with the rest of the Consortium partners within the legal scope of the project implementation, as well as the platform's functioning and sustainability.

B.3.. The platform is designed to offer youth organizations an online space where they will be able to work, organize events and network. Views and opinions expressed are however those of the author(s) only and do not necessarily reflect those of Connect Int., the European Union or the European Education and Culture Executive Agency (EACEA). Neither Connect Int. nor the European Union or EACEA can be held responsible for them.

B.4. Connect Int. as the coordinator of the project and administrator of the platform reserves the right to delete any harmful content published or shared in the platform and deny access to the platform and its services to any user in case of a legal violation or breach of Connect Int.'s. Code of Ethics


C. Information we collect and receive

C.1. DYOu will collect and receive information through operating its services and through other interactions. This information may include:

  1. Workspace and account information: to create a DYOU account the user supplies an email address and password, organization name and email, administrator name, administrator position, country, PIC/OID number or other details provided for vetting the account.
  2. Profile information: to customize their DYOu profile the user may supply organization name, logo, website link, address, fields of work, social media links, as well as information, photos, links and other audiovisual data in the My News section, which shall all be public.
  3. Usage Information: We don't collect any data.
  4. Additional information: other information when submitted to DYOu or in other ways, such as responses or opinions the user provides if they participate in a virtual activity through the EMPOWER function or a virtual fair through the CONNECT function, feedback they provide about our products or services, information they provide if they request support, interact through our Contact section or otherwise communicate with DYOu and the administrators.
  5. Personal Data: personal data of individuals engaged in the work of the registered user, in case they are invited to register in the platform as the user's collaborators, including their name and surname, position and role, email address. These individuals shall receive an invitation to join DYOU and shall be requested to supply a password to access the platform and a profile photo to customize their profile.
  6. Third party data: Connect Int. is not responsible for any other third-party products, services or businesses integrated in the DYOu platform who will provide their services under their own terms of service and privacy policy. This includes applications, tools and platforms that the user decides to integrate in the customization of their profile and workspaces. Once embedded in the platform the information hosted or shared through third-party products, services or businesses are not collected by DYOu or Connect Int. This applies in all three functions of DYOu: ENGAGE, EMPOWER & CONNECT.
  7. Cookies Information: We don't keep any cookies.

C.2. All information collected by DYOu or Connect Int. is stored on Azure server.

C.3. Generally, no one is under a statutory or contractual obligation to provide any information to DYOu or Connect Int. However, certain information is collected automatically upon use of the platform and, if some information, especially regarding the workspace setup details and account information, is not provided, it may not be possible to verify the user and allow access to the DYOu services.


D. Legal basis for processing this information

D.1. Compliance with a legal obligation: any information obtained from DYOu may be processed in the occasion of compliance with a legal obligation. This may occur specifically in case of a valid legal request from a regulator, law enforcement or others to access, preserve or disclose certain information, as for instance in case of a search warrant or production order from law enforcement to provide information in relation to an investigation, such as profile pictures, contact details or IP addresses.

D.2. Legitimate interest: this involves any legal activity that is necessary for the successful functioning of DYOu and maintaining the project's quality standards. More concretely this entails:

  • providing, updating, maintaining and protecting the DYOu platform, including the prevention or resolution of technical problems
  • preventing, detecting, investigating and resolving security issues and misuse cases
  • sharing information with law enforcement and responding to legal requests for the interest of the general public, including fraud, unauthorized use of DYOu, violations of our terms or other harmful or illegal activity
  • facilitating communication with the users by responding to their requests, comments and questions
  • sending service emails, including automated notifications for upcoming events, invitations to collaborators, information about changes in the offered services, warnings about potential fraud or misuse and others
  • raising administrative matters
  • reporting to the European Commission, as the granting and reporting authority of this project.

E. Disclosure of information

E.1. The information collected by DYOu and Connect Int. as the administrator of the platform shall not be shared by third parties, except for the following occasions where certain information might be disclosed to:

  1. the partners MoveIt (Greece), Backslash (Spain), Tipovej (Slovenia) and BUM (Serbia), as partners of the Consortium of the project “Digital YOu - Digitalization of Youth Organizational Work”, under which DYOu was developed.
  2. the European Commission, due to our obligation to send detailed reports regarding the results of the project, including the usage and outreach of the platform.
  3. the IT team who is in charge of the development and maintenance of the platform, as well as the technical support of the users and the resolution of technical issues.
  4. the regulator, law enforcement or others in case of compliance with a legal obligation.

E.2. Connect Int. may share and disclose information in accordance with a user's instructions and with appropriate consent in compliance with applicable law and legal process.

E.3. Users are responsible of ensuring that the information or personal data they supply in DYOU respect the law and GDPR provisions, especially those related to their collaborators, participants, colleagues or other individuals engaged in their work and activities on all sections of the platform. This includes receiving consent and authorization before providing any individual's personal data or other information. In any case, Connect Int. cannot be held responsible for the user's activities.


F. Retention of information

F.1. DYOu and Connect Int. may retain information for as long as necessary for the purposes described in Chapter D of this Privacy Policy

F.2. This may include retaining the user's information after you the deactivation or deletion of their account for the period of time needed to pursue legitimate interests, conduct audits, comply with (and demonstrate compliance with) legal obligations, resolve disputes, and enforce other provisions.

F.3. The user has the right to retain their information by deleting their account at any point by selecting the option Delete your profile.


G.User's rights

G.1. As a data subject each user has a number of rights. They can:

  • access and obtain a copy of their data on request
  • require Connect Int. to change incorrect or incomplete data
  • require Connect Int. to delete or stop processing their data or proceed in the deletion of their own data by selecting the option Delete your profile
  • object to the processing of their data where Connect Int. is relying on its legitimate interests as the legal ground for processing.

G.2. If a user wishes to express concerns, ask for clarifications, lodge complaints or exercise any of the above-mentioned rights, including their right to withdraw consent, feel free to contact Alkistis Giogiou at office@connect-international.org.

G.3.. If a user wishes to learn more about the General Data Protection Regulation (GDPR) they may consult the Official Journal of the European Union.

G.4. If a user believes that Connect Int. has not complied with their data protection rights, they may complain to the Data Protection Authority in Belgium (https://www.dataprotectionauthority.be/).
